Privacy Notice for the Processing of Personal Data

(pursuant to EU Regulation No. 2016/679 and Legislative Decree No. 101/2018)

Dr. Privacy S.r.l., with registered office at Via Nicolò Porpora 12, 00198 – Rome (the “Data Controller”), as the data controller, hereby informs you—pursuant to Article 13 of EU Regulation No. 2016/679 (hereinafter, “GDPR”) and Legislative Decree 101/2018—that the personal data of guests of Flora Guest House will be processed in the manner and for the purposes set out in this notice:

Data Collected

The Data Controller processes the personal data provided during the booking process, as required by applicable regulations. In particular, this includes identification and contact data supplied when making a reservation or completing the required registration forms.

During the stay at the property, images may also be collected via video surveillance systems intended to ensure guest safety, but only in the facility’s common areas. These data will be processed exclusively by the Data Controller and only for the limited time necessary to address any unlawful activities occurring on the premises.

Purpose of Processing

The processing of personal data does not require explicit consent, as it is necessary for:

  • the conclusion of service agreements;

  • compliance with legal obligations, regulations, EU legislation, or authority orders;

  • the exercise of the Data Controller’s rights (e.g., right to legal defense).

Processing Methods

Personal data are processed using the operations outlined in Article 4(2) of the GDPR, including: collection, recording, organization, storage, consultation, processing, modification, selection, retrieval, comparison, use, interconnection, blocking, communication, deletion, and destruction.

Data may be processed both on paper and electronically/automatically. The Data Controller will retain personal data only for the time necessary to fulfill the purposes outlined above.

Mandatory Nature of Data Provision

Providing data at the time of signing a service contract with the company—or individuals authorized by it—is mandatory to establish the contractual relationship and ensure the provision of hospitality services, including administrative, support, and communication activities related to the stay.

Data Access

Data may be communicated or made accessible exclusively to employees and collaborators of the company, in their capacity as designated and/or authorized personnel and/or system administrators, for the purposes outlined in this notice.

Data Disclosure

Without the need for explicit consent (pursuant to Article 6(b) and (c) GDPR), the Data Controller may disclose the data for the purposes outlined above to: supervisory authorities, judicial bodies, insurance companies (for insurance-related services), or other entities to whom communication is required by law. These entities will process the data as independent data controllers. Your personal data will not be disseminated to third parties.

Data Transfer

Your personal data will not be transferred outside the European Economic Area (EEA). Should such a transfer become necessary, the Data Controller guarantees that it will comply with the provisions of Articles 45 and following of the GDPR.

Data Subject Rights

At any time, you may exercise your rights under Articles 15–22 of the GDPR, including the right to:

  • obtain confirmation as to whether personal data concerning you are being processed;

  • access your personal data;

  • obtain information on the purposes of the processing, the categories of personal data involved, the recipients or categories of recipients of your data, and the retention period;

  • request rectification or erasure of personal data, or restriction of processing;

  • object to processing as provided under Article 21 of the GDPR;

  • withdraw your consent at any time;

  • receive your personal data in a structured, commonly used, and machine-readable format (data portability), and transmit them to another controller without hindrance.

You also have the right to lodge a complaint with the Data Protection Authority under Article 77 of the GDPR.
